We would like to come earlier and leave later, can we book and stay in the same accommodation for the duration?
Yes, on the Entry Ninja booking platform you can select the number of days before and after that you wish to stay and we will ensure that you are in the same room for the duration of your extended stay.

There is a group of us coming, can we all stay near each other?
Yes, a number of weeks before the event we will send you a communication with a questionnaire where we all ask for your group details, room and bed preferences, travelling details, allergies and medical condition questions. Using this information we allocate you to our block booked B&B's and Hotel rooms, ensuring your group is in close proximity.
We select our accommodation very carefully and use particular rooms only in top establishment B&B's and Hotels.

What is the booking method for GravelGrinder Tours?
We announce the dates that we will be running the tour and list it as an event on Entry Ninja's ticketing website. Individual participants simply purchase an entry using a credit card or EFT. Larger group organisers can make a single purchase but must still capture individual rider details, for safety and legal reasons. E-mail and SMS communication will be used to keep you informed.

What is the Payments and Cancellation Policy?
1. Payments
50% deposit to secure your entry within 10 days of registration
Full payment must be received 60 days prior to the event
2. Forced cancellation by pandemic or natural events.
60 days or earlier we provide a full refund less a small administration fee.
Within 60 days we can move you to a new date but you may incur some costs due to lost deposits.
(Please note that we have not had to change any of our GravelGrinder events since August 2020, as they fall in the 50 participant or less rules.)
3. Customer cancellations
90 days or more, prior to the event
A refund can be requested, there is a small administration fee.
If you want to move your entry to another one of our events on a later date, it will be done at no extra cost
Between 30 and 90 days prior to event
Your entry can be moved to a later event date at a fee of R1200 per person.
Very difficult for us to find a replacement for your entry, therefore no refunds can be made if cancellation is received within the 90 day period of the upcoming event.
30 days or less prior to event
We can unfortunately not allow any moving of entries to a later date, as by now we have already committed and paid for the upcoming event in full, and we will not receive a refund from our service providers.
All fees paid by entrants will be forfeited.
Covid and severe injury leniency
If a doctor’s certificate is provided within the 30 day period, which precludes you from participating, we will move you to a future date of your choice and incur the loss, but unfortunately you will forfeit 50% of your fee.

Private and corporate tours
We do accommodate private and custom tours, however not on the dates we run our regular GravelGrinder Tours.
We schedule approximately 12 GravelGrinder tours per annum with fixed dates which are open for singles, couples or groups to book on, generally the participants are all like-minded individuals and have a lot of fun together and make new acquaintances.
However if your requirement is to have your own GravelGrinder Tour or a custom route and logistics then below are the options:
Option One:
We offer you the full GravelGrinder itineraries on a date of your group's choosing. We have a set logistics and infrastructure cost, we therefore need to charge a minimum of around R 350 000 to R 420 000 (depending on location) which covers 26 riders. If more riders attend we simply cost it at the advertised package price per rider for that tour, be it the Karoo, Camdeboo or Langeberg GravelGrinder tour. Once we have agreed on a date we require a 50% deposit to firm up the booking, this would mean a R 175 000 to R 210 000 deposit to confirm the date with us, so that we can begin bookings and preparations.
Option Two:
You have the option to design your own tour of between 3 to 5 days of riding.
We then engage with you to arrange the logistics etc. of the following:
The logistic planning fee is R 35 000 payable in advance, this usually takes around 7 days to complete and does require a fair amount of time from members of the group or the group co-ordinators.
We then deliver a full schedule of costs to you and will require a 50% deposit to secure the date.
This is a lengthy process and is generally used when there is a particular route that individuals have decided they want to ride and need the support and organisation.
Again the infrastructure and logistic cost suits 26 riders or more, to ensure the cost per rider is reasonable.
